Social Media Usage Policy

1. Objective

The purpose of this policy is to set out the rules for the management and use of ESOGU Official and Other Social Media Accounts.

2. Scope

It covers the personnel who work within ESOGU and manage these accounts.

Other Social Media Accounts: Web pages of departments and staff connected to ogu.edu.tr, twitter, instagram, facebook, whatsapp, youtube, etc.

5. Responsible Party

ESOGU Institutional Communication Application and Research Center and ESOGU BIDB BGYS department are responsible for the creation of this policy. All ESOGU personnel are responsible for the implementation of the policy.

6. Rules

  • ESOGÜ is not responsible for any content shared by third parties outside of its official social media accounts.
  • The personnel employed within the institution should refrain from sharing any reports/documents/data owned by the institution and carrying confidentiality and criticality values on Official and Other Social Media.
  • The personnel working within the institution should not share any information or visuals related to physical work areas with critical or confidential value on Official and Other Social Media.
  • The staff working within the institution should avoid sharing any information about critical and confidential matters conducted within the institution on Official and Other Social Media platforms.
  • When sharing documents containing personal data such as name lists, exam result lists, etc., on Official and Other Social Media accounts, the data must be masked in accordance with the Personal Data Protection Law (KVKK).
  • On Official and Other Social Media accounts, photographs and videos taken during institutional activities (educational, social, cultural, promotional activities, fairs, and similar events, opening and commemoration ceremonies, etc.) can be shared. In addition to this, content related to celebrations, commemorations, national special day messages and messages for religious holidays, as well as content deemed necessary by the Administration, can be published.
  • The images of our employees/students appearing in photographs and videos on Official and Other Social Media accounts can only be published if their consent has been obtained. Apart from this, images of the departments, our suppliers, and our visitors should not be included without their permission, and their names should not be tagged in the posts.
  • On Official and Other Social Media accounts, no advertisement for any commercial product/service should be made, and no promotion of any political views should be propagated. No comments should be made that disparage or belittle any individual and/or institution, their services, or products.
  • ESOGÜ reserves the right to disallow, delete, hide, or block users who post comments, messages, and posts at its discretion.
  • In addition, the rules that our employees and the departments we collaborate with should observe in social media usage are outlined below:
    • In the posts and comments made on Official and Other Social Media accounts, personnel employed within ESOGÜ, as well as suppliers working with ESOGÜ, should refrain from making any comments that may damage the reputation of ESOGÜ or any public or private institution or organization.
    • In the posts and comments made on Official and Other Social Media accounts,  it is important to avoid language that exceeds the boundaries of freedom of expression, such as aggressive and disturbing comments, racist comments as well as the sharing of sexually explicit content.
    • In the posts and comments made on Official and Other Social Media accounts, language that insults the common values of nations should not be used.
    • Photographs or videos taken during field supervision, exercises, inspections, etc., in the workplaces where services are provided should not be shared on personal social media pages and accounts.
    • If there is any doubt about the content to be shared, it should be consulted with the Administration.
    • When posting any content (text, images, videos, etc.) on Official and Other Social Media accounts, care should be taken to avoid infringing on trademarks or copyrights.
    • Employees are personally responsible for the posts and comments they make on their personal social media accounts.
    • In the posts made on Official and Other Social Media accounts, proper spelling and grammar rules should be adhered to.
    • Individuals who have not been authorized should never represent themselves as the official spokesperson of the institution in the posts made on Official and Other Social Media accounts.
    • In the posts made on Official and Other Social Media accounts, a careful tone should be used when responding to messages/comments written by others regarding the institution.
    • It should be acknowledged that even if posts on the internet and social media are deleted or removed, they do not disappear completely.

7. Oversight and Sanctions

  • The responsibility for managing, controlling, and overseeing Official Social Media Accounts belong to the Directorate of Institutional Communication Application and Research Center.
  • The responsibility for managing, controlling, and overseeing Other Social Media Accounts belonging to departments is on the person appointed by the relevant department manager.
  • In case of violation of this policy, the violation is identified, inappropriate content/comments are removed, and if deemed necessary, the Administration is informed for administrative proceedings to be initiated.
